Block Allocation Group (BAG)

These proposals are a way to obtain free beamtime after peer-review committees evaluation of the project.

BAG submission is open only once a year during calls with a closure date in September.

 

There are two types of BAG proposals at SOLEIL:

not MX/BioSAXS  BAG (classic) MX/bioSAXS BAG

Currently available for CRISTALPUMASAMBASIRIUS and SWING beamlines for specific research areas as well as for CryoEM on POLARIS. For more information, please contact the beamline manager.

Duration: 1 year, beamtime allocation period from March 1st, YEAR N to February 28th, YEAR N+1.

For protein cristallography experiment on PROXIMA-1 and PROXIMA-2A beamlines and/or for small angles X-ray diffusion on SWING beamline or on ANATOMIX beamline for biomedical studies or on ANATOMIX and/or PSICHE beamline(s) for tomography.

Duration : 2 years, for beamtime allocation from the 1rst of March, YEAR N to the 28th of February, YEAR N+2.

In order to facilitate BAG shifts allocation and management, SOLEIL Board of Directors has decided to open call for BAG proposals only on odd calls; so that the beamtime allocation period will cover the entire year. 

ATTENTION: MX-BioSAXS BAG proposals can only be resubmitted every 2 years. If your team has a MX-BioSAXS BAG proposal ongoing and submit a new MX-BioSAXS BAG proposal, this one will be declined.

 

Submission guide

Submission form is available online on the SUN set, it's divided on 6 tabs for each part of the proposal.

Proposals have to be fully written in English and every step of the proposal has to be saved before continuation.

The submission procedures for a BAG project are specific to this type of project, but they are identical for a BAG MX/bioSAXS proposal and a BAG not MX/BioSAXS proposal.

 

1/ "General" Tab

This tab contains: the proposal title and keywords which are freely written by the proposal Main Proposer (MP).

The corresponding research area of the proposal has to be selected among a predefinied list of areas.

Depending on the scientific case of the project, it must be stated whether the project is a new project, a continuation of an accepted project, or a resubmission of a rejected project.

In the latter case, ensure that the description of the experiment addresses the comments made by the Peer Review  Committee that evaluated the previous project.

Please specify here whether it is an MX/BioSAXS or not-MX/BioSAXS BAG.

 

IMPORTANT INFORMATION ABOUT THE BAG COORDINATOR

The proposal BAG coordinator is by default the person who is logged in and who initiated the BAG project. He is the only contact person to SOLEIL for all administrative issues related to the BAG proposal. He is responsible for collecting and transmitting all information among the TEAMS and SOLEIL (e.g. User Office, Travel Office, beamline manager and safety staff).

All correspondence will be sent by SOLEIL to the BAG coordinator who must inform the TEAMS about the beamtime allocation periods and organise their visits accordingly.

Cancellation of the allocated beam time should be made at least 2 weeks before the experiment. Shorter notice may result in the loss of beam time.

The BAG Coordinator is required to provide all requested documents after the experiment within the specified time frame (eg. experimental report, publication list, end of run report, …).

 

2/ "Beamline(s)" Tab

Choice of beamline has to be consistent with proposal objective. This choice can be helped usind a diagram ranking beamlines per energy range.

Up to 3 beamlines can be selected with a satisfying explanation of your choice for complementary studies.

It is highly recommended to get in touch with scientists of selected beamline(s) to check the adequacy between you proposal and the beamlines and to help for the proposal writing. This local contact has to be indicated in the proposal form.

The experimental station or type of techniques has to be selected if necessary. The machine operation mode has to be chosen and the needed energy range has to be indicated.

And the number of shifts needed to perform the experiment has to be defined.

 

3/ "Experiment Requirements/Context/Framework" Tab

Il faut sélectionner le comité de programmes le plus adapté à votre projet en vous référant à la composition des comités, domaines d'expertise, ...

Puis il faut renseignez les laboratoires supports dont vous pensez avoir l'utilité : laboratoire de biologie, laboratoire de chimie, laboratoire des matériaux. A ce stade, il ne s'agit pas d'une demande mais juste d'une déclaration d'intention.

Chaque BAG doit identifier une personne qui agira en qualité de Coordinateur du BAG et chaque équipe (Team) du BAG désignera une personne pour agir en qualité de “Principal Investigateur” (PI).

Le Coordinateur du BAG et les PIs ont des devoirs spécifiques qui sont décrits dans les paragraphes ci-dessous.

 

4/ "BAG Constitution" Tab

BAG Coordinator

The BAG coordinator is the person in charge of submitting and managing the BAG proposal. He/she defines in this tab the PIs of each team to which the members are attached (all team members must be registered in the SUN set).

For each team, a number of fields must be completed relating to the context of the experiment and the framework of the team's project.
In addition, a description of the experiment must be written and submitted by each team.

This description must be written in a Word document, which can be downloaded, and is limited to two pages (including figures) per team.

Under no circumstances should the structure of the document (headings, spacing, font, etc.) be modified, otherwise once converted to PDF, the document will not be recognised by the SUN set.

 

 

INFORMATION ABOUT THE PRINCIPAL "INVESTIGATOR" (PI)

Principal Investigator (PI)

The PI or his named representative must be present at SOLEIL throughout a BAG session. He/she is the designated by the BAG coordinator when he declares the participants for each session. The PI or named representative is responsible of the activities carried out during the beamtime session.

The PI or its representative must know how to operate the beamline and stays on site during the entire beamtime session. His/her duties are the following:

  • act as the spoke person with the local contact,
  • ensure that each team is technically able to properly handle the beamline and perform their experiments,
  • ensure the smooth changeover between successive teams,
  • act as a contact person for all matters concerning safety issues at SOLEIL.


Data Access Rights for Team members (Applies only to MX/BioSAXS BAG proposals)

 

 

 

 

 

 

 

 

 

 

 

 

Teams setting up (‘team members’ associated to a ‘PI’) allows to manage data confidentiality (specific access rights) between the teams of a BAG within ISPyB, permitting, for example, access to sample preparation forms or to see results related to a BAG member.

Researchers associated to a ‘TEAM’ under the responsibility of a PI represent the ‘team members’.

The BAG Coordinator has, by default, access rights to all TEAMS (i.e. can access all sample declarations and results).

A Principal Investigator has, by default, access rights to his TEAM.

A team member has, by default, access to ISPyB to see sample preparation details and results related to his TEAM (only for BAG proposals in ‘Accepted’ or ‘Finished’ status).

A collaborator, from another TEAM, can carry out an experiment for a specific beamtime session only if the BAG coordinator gives him the relevant access rights in the Authorization Management section in his participant form (in SUN set: Before experiment / Participants declaration).

 

5/ "Samples" Tab

Samples, substances and ancillary equipments that might be brought at SOLEIL for the experiment have to be declared.

But first you have to read SOLEIL safety requirements for each kind of sample: biologic sample, chemical, radiological, ..

 

6/ "Results from previous proposals" Tab

If you have already carried out an experiment, please attach here all proposals performed for which you have written an  Experimental report, submitted in the SUN set and which are related directly or not to the subject of the proposal you are currently editing.

The absence of this report is an eliminatory criteria during committees evaluation if not clearly justified.
